Is Project Management Exclusive to Big Projects?

The importance of project management for the success of any organization is unquestionable. Most companies agree that project management is crucial for business growth. However, is project management only for big companies, or can freelancers and solopreneurs benefit from it too? Let’s find out.

What is Project Management?

Project management is the art and science of managing projects and bringing them to success. Projects could be any endeavor, from baking a cake to landing on the moon. This discipline ensures that projects are completed within limited time and resources while containing costs, mitigating risks, and ensuring quality.

Project Management Process

The process has four stages: planning, execution, monitoring, and conclusion. The person who specializes in this field is called a Project Manager, and they are among the highest-paid professionals in the world. The structured approach they follow is called a methodology. Among numerous methodologies, Agile, Waterfall, Lean, and PRINCE2 are some of the most popular and widely used.

How Does This Apply to Software and Web Development?

Project management methodologies have been applied to software development, primarily alongside a few other disciplines. Both professions grew together, making it virtually impossible to separate them.

Project Management is for Big Projects Only?

This statement is far from the truth. These processes or methodologies apply to small projects as well. If you are a solopreneur or a freelancer, you can reap the benefits of these processes to achieve better results and cut costs. Both of these factors are crucial for your freelance or solopreneur careers.

How Can I Learn Project Management?

Colleges and universities offer Project Management programs. Similarly, many professional bodies provide training and issue certificates such as PMP (Project Management Professional), Agile, and Six Sigma certifications. If you do not have time to join a formal program, you can use free online resources or read a book or two. Investing some time in learning Project Management basics will benefit you in the long run.

Popular Project Management Methodologies

Various project management methodologies have surfaced in the 20th and 21st centuries, such as Waterfall, PRINCE2, Agile, Lean, and more. Each has its pros and cons. While Waterfall is one of the oldest, Agile is one of the most popular methodologies. The choice varies from project to project and organization to organization.

Benefits of Project Management for Entrepreneurs and Freelancers

According to a study, 50% of projects fail due to a lack of or poor project management. As an entrepreneur, you cannot afford to fail, as it impacts your reputation. Here are some of the benefits of effective project management:

1. Improved Communication

Project management procedures such as Agile stress effective internal and external communication. Communication is vital when you are gathering requirements for a project. Noting down all conditions and the project scope will minimize scope creep (i.e., new requirements emerging along the way).

Similarly, communicating progress to the client will establish trust and credibility. If you are a small team, internal communication between the designer, developer, and content writer will ensure everyone shares the same vision. 38% of companies believe that the biggest barriers to success are confusion about team roles and responsibilities.

2. Effective Resource Utilization

The first phase of project management is planning. During this phase, you plan for time, human, and material resources. You know in advance what supplies you need for each milestone and how to utilize them effectively. For example, if you are developing a website, you can accurately map out when you will finish web design and when actual coding will begin through proper project management.

With project management, you can cut down costs considerably. When you plan, you can foresee each milestone, how much time it will take, and which resources are needed. This plan will ensure you complete the project within time and budget, as delays mean cost overruns.

3. Taming the Chaos and Increasing Productivity

Projects are chaotic at the start. Project management helps tame the chaos. With better resource utilization and time management, your productivity increases. For example, in website development, you can mark clear milestones: one week for planning, the second week for coding, the third week for debugging, and the last week for finishing and delivery. Another popular way of organizing work is in 2-week intervals, known as sprints. The team picks some part of the defined work and commits to completing it in a 2-week interval. This way of working is trendy in software development today.

4. Satisfied Clients

When you deliver the project within time and budget, the client will appreciate your effort. You have better chances of getting future projects from the same client. If you add value to the product (e.g., website or software), they will rejoice and become your referrals, which is the best marketing strategy.

5. Compatibility and Flexibility

When you have done planning in advance and frozen the scope, you can work with peace of mind. You won’t be sitting at odd hours during the night. You would have more time for yourself and your family. For example, you would not need to be up late at night by distributing the workload evenly throughout the week.

6. Controlling Risk

Anything that can negatively impact your project is a risk. For example, cost overrun is a risk. Similarly, your internet connection may get interrupted; that is another risk. Project management helps you avoid risks in the first place. However, if the risks are inevitable, it tries to control and mitigate their effects. For example, in case of an internet disconnection, you can use mobile data. Or, if your computer broke down at the last moment, borrowing your friend’s laptop is risk management. The thumb rule is that risks are inevitable, so be prepared.

7. Improved Quality

Quality is an important Key Performance Indicator (KPI) in project management; almost all methodologies have ways to ensure quality. Instead of coding at the eleventh hour, you have ample time for coding, thanks to your planning. Contrary to spaghetti code, your code will be clean and clear. Clean code helps in debugging, too. The net result is improved quality.

Project Review and Knowledge Gathering

After completing the project and handing it over to the client, the next step is to review your performance. Find out what went well, what didn’t work, where you could improve, etc. This knowledge will help you with your next project. Record this information in some form, either electronically or in print.

Conclusion

Project management is a great tool for delivering successful projects. It is equally important to freelancers and solopreneurs. You can cut costs, increase quality, and build your brand by following project management processes.

Personally, I like Lean. It aligns with my work philosophy. It is best suited to freelancers and solopreneurs. Let us know which project management methodology you use for your projects. Do you use Agile or Waterfall? Share your thoughts in the comments section.
